Stay on Track

How do top virtual leaders keep everyone on track during the meeting? They use process intervention techniques when necessary to keep the team focused. An example of this is interrupting a discussion to refocus the participants and/or rebalance group interactions. Although process intervention can be challenging in a virtual setting due to more limited visual cues (other than hand waving), it becomes critical to success.

One important technique is observation – pay close attention to the flow of the discussion. Are the comments and issues being raised aligned with the stated agenda? Also, attend to team members’ interactions by focusing on behaviors. Keep in mind that you won't have as much of an ability to discern meeting participants’ body language or other visual cues as fully as in person. Therefore, it is important to keep up with the level of participation of individual members and to listen carefully to their tone and words. Paraphrasing is an easy way to confirm your understanding of a team member's comments before you intervene. And as a virtual meeting leader, pay attention to the chat feature that has become a standard part of meeting interactions. Often, especially in large group meetings, the chat dialogue can be just as rich a source of information as the comments that are shared aloud.
